Lead response service that calls every lead back.

A lead response service is a team of real people who call or message every new inbound lead, answer the first questions, qualify it against your criteria and book a meeting or hand it warm to sales. We run it in English and Spanish through partner centers we select and manage in Mexico and Colombia, working inside your CRM. The response target goes into your plan in writing, and AI scores every call and message so you can check the work.

What a lead response service is, and who buys it

Most companies don’t lack leads. They lack someone who picks up the phone while the lead still remembers filling in the form. A lead response service closes that gap: a person contacts each new lead, has a real conversation and moves it to the next step you define.

The buyers are companies that generate leads faster than sales can work them: home services, clinics, schools, financial services, B2B software and anyone running paid campaigns. If your reps spend mornings sorting form fills instead of selling, this is the work we take off their desk.

What a real person handles

Every lead gets a person, not a drip sequence. The rep works from a script you approve and asks the qualifying questions your sales team already uses.

  • Calls or texts new leads from web forms, Meta and Google lead forms, website chat and landing pages.
  • Calls back missed calls and voicemails left on your sales line.
  • Answers first questions on services, service areas, availability and next steps, using answers you’ve approved.
  • Qualifies each lead against your criteria: budget, timing, location, decision maker or whatever your team scores.
  • Books the meeting on a rep’s calendar, or transfers the call live to sales when the lead is ready to talk.
  • Follows up on leads who don’t answer, on a cadence you approve, then closes out wrong numbers and poor fits.
  • Logs every attempt, outcome and note on the lead record in your CRM.

Why it matters most when you pay for leads

Paid media buys attention. It doesn’t buy a conversation. A lead from a search ad or a lead form costs the same whether anyone calls it back or not, so a lead nobody calls is ad spend you paid for and threw away.

That’s why we often run lead response next to paid campaigns. The media team sees which campaigns produce booked meetings, not only form fills, and moves budget toward the ones that close.

In-house reps, software or a service

There are three common ways to make sure new leads hear back quickly. Each works for some companies, and many combine them. The question is who’s actually free to talk when the lead comes in.

How it works, from setup to the first week live

Setup is mostly about your rules: who counts as qualified, what a rep may promise and where a booked lead goes next.

First we map your lead sources, sales hours, territories and the handoff you want. Then you approve the opening, the qualifying questions, the answers to common objections and the things a rep must never say.

Reps work inside your CRM with their own logins, so every touch lands on the lead record and your sales team never re-keys anything. We agree the response target with you for each lead source and write it into the plan.

The first week runs on one lead source. You listen to recorded calls, we adjust the script together, and only then do we add the next source.

Plans: pick the hours your leads arrive

Choose the plan that matches when your leads actually come in, not when your office is open. Every plan is priced on volume and hours, quoted in writing before you start, and you can change plans as your campaigns change.

English and Spanish, on the same lead

Most lead forms don’t ask which language the lead prefers. Reps open in the language of the ad or the form and switch the moment the lead does. Spanish-speaking leads talk to a native speaker from Mexico or Colombia, not someone reading a translated script.

If your Spanish-speaking customers mostly have roots in one country, tell us. We match reps to the accent and vocabulary they expect. English and Spanish calls get scored separately, because a strong rep in one language isn’t automatically strong in the other.

Quality you can check, lead by lead

AI transcribes and scores every call and message against your scorecard. Did the rep ask every qualifying question, log the outcome correctly and stay inside what they’re allowed to promise? A person has the conversation; AI checks the work.

Each week we calibrate the scoring with you on real calls, so the AI grades the way your sales manager would. You see the same dashboard we do: attempts per lead, contacts made, meetings booked, response time against the agreed target and QA scores by rep.

A lead who filled in your form asked to hear from you, but that doesn’t settle every rule. Under the Telephone Consumer Protection Act, autodialed or prerecorded calls and texts to cell phones need prior consent, and marketing messages of that kind need prior express written consent.

Your counsel decides what your form’s consent language covers and how your dialer and texting tools are set up. We follow the rules your counsel sets, and every do-not-call request goes on the lead record so nobody contacts that person again. Some states add their own rules, so ask about the states you sell into.

How to start

Start with one lead source, usually the one you spend the most on. Send us a sample of recent leads with personal data removed, your qualifying criteria, your sales hours and the calendar or CRM where booked meetings go.

We come back with a written plan: scripts, the response target, the follow-up cadence and the scorecard for the pilot. When the pilot hits the measures you agreed, we add the next source.

Frequently asked questions

What does a lead response service actually do?

It makes sure a person contacts every new inbound lead. The rep calls or texts, answers first questions, asks your qualifying questions and then books a meeting, transfers the lead live to sales or closes it out as a poor fit. Every attempt and outcome goes into your CRM, so your sales team picks up warm leads instead of raw form fills.

How fast will you call my leads?

We agree the target with you for each lead source and write it into the plan before you start. The dashboard then shows response time against that target, lead by lead, so you can check it yourself. If a source misses the target, you see it in the weekly review and we change staffing or hours to fix it.

Will my leads talk to a person or a bot?

A person. Every call and message is handled by a rep at a partner center we select and manage in Mexico or Colombia. AI works behind the scenes: it routes leads, transcribes calls, drafts notes and scores quality on every interaction. It doesn’t speak to your leads, and it doesn’t decide whether a lead is qualified.

Should we hire an in-house rep instead?

If your leads arrive during the workday at a steady pace, an in-house rep can work well. A service makes more sense when leads come in evenings and weekends, in two languages, or in bursts after a campaign launches, because one person can’t cover every hour. Some teams use both: their own reps take business hours and we cover the rest.

Can your team work inside our CRM?

Yes, and that’s how we prefer to work. Reps use their own logins in your CRM, log every attempt and outcome on the lead record, and book meetings on your calendars. Your sales team sees the full history before the first call. We agree access levels with you, and you can switch off a login at any time.

Do we need consent to call leads who filled out our form?

Often you do, depending on how you call. Under the TCPA, autodialed or prerecorded calls and texts to cell phones need prior consent, and marketing ones need written consent. Your form’s wording matters. Ask your counsel to review it, and we’ll follow the rules they set and log every do-not-call request in your CRM.

How is a lead response service priced?

It’s priced on volume and hours: how many leads you send, how many attempts each one gets and which hours you need covered. A weekend plan costs more than business hours only. We quote in writing before you start, based on your real lead volume, so the number reflects your work and not a generic package.

Can you follow up with Spanish-speaking leads?

Yes. Reps are bilingual or native Spanish speakers from Mexico and Colombia, and they switch languages the moment a lead does. You can route Spanish-language campaigns straight to Spanish-first reps. English and Spanish calls get scored separately, so you know the quality in each language rather than a blended average.

Who’s calling your leads back?

Send us your lead sources, qualifying criteria and sales hours. We’ll come back with a written plan: scripts, the response target and the scorecard for a pilot.
